MPG Contracts Ltd are committed to ensuring your privacy is protected. This privacy policy sets out how we use and protect any information that you give us (including the use of our website) in your dealings with the Company. Your information will only be used in accordance with this privacy statement. This policy is updated and effective from 1st November 2021.

Visitors to our website and Social Media pages:

When someone visits www.mpgcontracts.co.uk, or social media pages such as Linked In, Twitter and Facebook, the IP address, type of operating system and Internet browser and other information may be recorded. These systems may require the use of cookies, which have their own privacy statements and are not designed by MPG Contracts Ltd. We use a pre-designed theme/ template for our web pages supplied by our domain provider.

Any social media and web design companies we use are required to operate within the confines of UK law.

Information we collect and how it is used:

When contact is made, via post, written, email, website, personally or by any other means, MPG Contracts Ltd may collect the following information:

· Personal and Company names.

· Contact information including email and home addresses and telephone numbers.

· Other Employee and Subcontractor details

· Health and Safety Records

· Payment Details

· National Insurance and UTR numbers

· Right to work checks and documentation to support these

· Information required by UK Law and Regulations

The personal information will be used for Internal record keeping and to improve our products and services, and to comply with current UK legislation

We will only use information supplied to us via enquiries to check on the level of service we provide. We will not use your information for marketing purposes without your consent. We will not sell, distribute, or release your personal information to third parties unless we have your permission or are required by law to do so.

How long we keep your information:

· Information regarding accounts and payments are kept for 10 years or less after the last transaction.

· Tax related Employee and Sub Contractor data is kept for at least 7 years after the last worked day.

· Other Client data is kept for up to 30 years after the last transaction (e.g.: Face Fit test records)

· Health and Safety Information including inductions is kept for at least 3 years.

Keeping your information safe:

In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect.

Records are kept securely at our head office, at each project site, and on secure servers in the UK and abroad (by recognised cloud providers; for example, Microsoft) and controlled by password protection and other means including firewalls, ISP included protection and anti-virus and antispam software. The data is controlled and accessible to those who require it to operate the business correctly.

Our website may contain links to other websites of interest. Please note that once you have left our site, the protection and privacy of any information which you provide on such sites are not governed by this privacy statement and we are not responsible for the protection of such data. Please refer to their Privacy Statement for more information.

Local data is stored on password protected computers, laptops and tablets. Central data is stored securely on our password protected servers in head office, and on secure backup servers via our IT partners.

NB: Email accounts are password protected, and stored via company owned accounts in the cloud, using Microsoft Office 365. Data transmitted via these services, in line with all email systems cannot be currently guaranteed to be protected, as hackers and other illegal operators are known to be active across the internet as a whole.

Controlling your personal information:

As stipulated in the General Data Protection Regulations (GDPR) you may request the following:

· Details of the data we hold on you.

· Correcting or adding to the data we hold on you.

· Restrict access to the data we hold on you.

· Deleting the data, we hold on you.

People who make a complaint to us:

When we receive a complaint from a person, we make up a file containing the details of the complaint. This normally contains the identity of the complainant and any other individuals involved in the complaint. We will only use the personal information we collect to process the complaint and to check on the level of service we provide.

We usually need to disclose the complainant's identity to whoever the complaint is about. This is inevitable where, for example, the accuracy of a person's record is in dispute. If a complainant doesn't want information identifying him or her to be disclosed, we will try to respect that. However, it may not be possible to handle a complaint on an anonymous basis.

We will keep personal information contained in complaint files in line with our retention policy. This means that information relating to a complaint will be retained for two years from closure. It will be retained in a secure environment and access to it will be restricted according to the 'need to know' principle.
